Position Summary
The Executive Assistant performs a variety of operational and administrative support services for the Executive Director and additional support for other staff directors as necessary. Areas of coverage include Board of Directors meetings, policies and procedures and general bookkeeping assistance. The ideal candidate will have exceptional communication and organizational skills including great attention to detail. Also responsible for duties outlined below as well as other duties as assigned. (Essential Job Functions below).
Skills
- Strong knowledge of computers in a windows environment
- Excellent oral and written communication and problem solving skills
- Ability to handle the demands of various skills
- Maintain strong professional and positive demeanor
- Excellent typing skills
- Understanding of financial bookkeeping
Essential Job Functions
Committee and Board Liaison
- Assist in board meeting preparation
- all committees of agenda deadline
- collect/compile all reports, motions, etc.
- assist with meeting logistics and room reservations
- attend meeting and take minutes
- maintain and distribute Policy & Procedures Manual following each meeting
- Assist with other committee activities as requested
- Customer Services activities
- Assist Executive Director in phone/fax/mail/email activities
- assist in other customer service activities as assigned
- Assist with posting job descriptions for open positions, scheduling interviews, preparing new hire packets and employee folders and compliance audits
Qualifications
- Must be energetic and versatile and professional demeanor
- Must have good organizational skills, ability prioritize multiple tasks, work independently and learn new skills
- Ability to work as a team member and work effectively with diverse people
- Skilled and knowledgeable in Medical Assistance programs and other MN based Medical Insurance companies
Job Essentials
- Experience: Have at least 3 years’ experience in a primary care clinic.
- Licensure/Certification: Must have current certification in Basic Life Support.
- Other Qualifications: It is very important to maintain professional appearance and professional behavior at all times.
- Attendance: Must be reliable and punctual.
- English Language: Must be able to read, write and speak English fluently. Bilingual is preferred, especially Somali and Oromo
