Position Summary

This direct patient contact position facilitates the whole experience for the patient from their first call in to the clinic to how they are checked in at the front desk to scheduling their return and follow up appointments. (Essential Job Functions below). This employee provides care to patients under the supervision of the Patient Services Lead.

The Person

  • This person is responsible for modifying and executing operations on the front office side of Axis.
  • This employee uses a “hands on” approach to assure performance of the program.
  • The employee is to follow the guidelines defined by the regulatory source.
  • This person will be a professional face for the clinic.
  • This person will work with outside resources and vendors such as manufacturers’ reps, MDH and others.

Front Desk and Scheduling

  • Have the ability and knowledge to be able to answer phones, schedule appointments and check patients in at the front desk.
  • Greet patients/parents in polite, prompt, helpful manner and provide any necessary instructions/directions
  • Reviews all registration forms for accuracy and completion according to office policies prior to accepting.
  • Obtains and enters new patient demographics; updates patient information, as necessary, verifying correct insurance in the computer system to maintain accuracy for billing.
  • Follows opening and closing procedures according to office guidelines.
  • Maintains clean and orderly work area including waiting area and reading material as needed.
  • Checks patients in using ECW (E-Clinical Works) EMR system.
  • Answer phones promptly, politely and professionally.
  • Schedule, coordinate and reschedule patient appointments as needed.
  • Assists with answering the phones during lunch hour, transferring to appropriate staff.
  • Attends weekly/monthly staff meetings as required.
  • Maintains strictest confidentiality; adheres to all HIPAA and PHI guidelines/regulations.
  • All duties as assigned.


  • Must be energetic and versatile.
  • Must have good organizational skills and ability to multi-task.
  • Must have good skills with the EMR in use.
  • Skilled and knowledgeable in Medical Assistance programs and other MN based Medical Insurance companies

Job Essentials

  • Experience: Have at least 3 years’ experience in a primary care clinic.
  • Licensure/Certification: Must have current certification in Basic Life Support.
  • Other Qualifications: It is very important to maintain professional appearance and professional behavior at all times.
  • Attendance: Must be reliable and punctual.
  • English Language: Must be able to read, write and speak English fluently. Bilingual is preferred, especially Somali and Oromo
